Privacy policy

Application data is sensitive by definition, so this page says plainly what happens to it.

This policy explains how VOXEPAY LLC ("VOXEPAY", "we", "us") collects, uses, shares and protects personal information when you visit voxepay.net, contact us, or apply for merchant services through us.

Information we collect

  • Information you give us: name, business name, email address, phone number, industry, processing volume and anything else you include in a form or email.
  • Application information: where you apply for a merchant account, information required by the processor and acquiring bank for underwriting, which may include business ownership details and identity verification information.
  • Automatically collected information: IP address, browser type, pages viewed and referring site, through standard web logs and any analytics tools we use.

How we use it

  • To respond to your enquiry and prepare a quote.
  • To submit and support a merchant account application on your behalf.
  • To provide ongoing account, equipment and dispute support.
  • To send service communications, and marketing communications where you have opted in.
  • To meet legal, regulatory and card network obligations.

How we share it

We share information with acquiring banks, payment processors and underwriting partners in order to submit and service your application; with service providers supporting our own operations, such as hosting and email; and where required by law or legal process. We do not sell personal information.

Retention

We keep information for as long as needed to provide services and to meet legal, tax and card network record-keeping requirements, then delete or anonymise it. In practice that means we keep enquiry and quote records for as long as we are in contact with you about them, and application and account records for the period the acquiring bank, the card networks and applicable law require us to hold them — which is longer, and is outside our control.

Your rights

Depending on where you live, you may have the right to request access to the personal information we hold about you, to request correction or deletion, to opt out of marketing, and to opt out of the sharing of personal information for cross-context behavioural advertising. Cookies

We use cookies and similar technologies to operate the site and understand how it is used. You can control cookies through your browser settings, and blocking them does not stop you using the site or submitting an application.

Analytics. We use Google Analytics 4 to understand which pages are read and how people arrive. It sets cookies in your browser and sends Google information about your visit, including a shortened version of your IP address. We have IP anonymisation switched on. Google’s handling of that data is governed by its own privacy policy.

We also run our own measurement on our server. It records the page visited, the site you arrived from, your device type and a daily-rotating one-way code derived from your IP address and browser. That code lets us count visitors without identifying anyone, it changes every day, and it cannot be reversed. This data stays on our server and is not shared.

Opting out. Add ?vxnotrack=1 to any page address on this site and your browser will be excluded from both Google Analytics and our own measurement for a year. Browser “Do Not Track” settings and analytics blockers also work.

Advertising. As of the date above this site does not run advertising cookies or retargeting pixels. If that changes, this paragraph will be updated on the day the tag goes on.

Typefaces. The site loads typefaces from Google Fonts, which means Google receives your IP address in order to serve them.

Security

Applications submitted through this site are stored on our own server rather than with a third-party form service. Social security numbers, bank routing and account numbers and government ID numbers are encrypted before they are written to disk, and the documents you upload are stored outside the public area of the web server so they cannot be reached by a web address. Access to application records requires an individual login, and viewing an encrypted field is recorded in an internal log. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

Children

Our services are for businesses. We do not knowingly collect personal information from anyone under 18.

Changes

We may update this policy. The date at the top shows when it was last revised.
